AI agents explained
What is an AI agent? A plain explanation with examples
An AI agent is software that finishes a task on its own: it breaks a goal into steps, uses tools such as email, a CRM or a database, checks the result and continues until the work is done. Unlike a chatbot it does not just answer, it acts. In a company, a person should approve the steps that have consequences.
How an AI agent works
- Goal: it receives a task, for example “process this incoming invoice”.
- Plan: it breaks the task into steps: read, extract the data, check, record.
- Tools: it uses what it has access to: email, a company register, the accounting system.
- Check: it verifies the result and, if something does not match, tries another way or asks.
- Approval: at steps with consequences it waits for a person.
AI agent, chatbot or automation?
| Chatbot | Automation | AI agent | |
|---|---|---|---|
| What it does | Answers | Runs fixed rules | Plans and acts |
| Input | A question | Data in a fixed format | Anything: email, PDF, form |
| When something changes | Answers, but does nothing | Breaks | Adapts its approach |
| Example | A shipping question | A form lead into the CRM | An invoice processed end to end |
Examples of AI agents in a company
- Customer support: answers routine questions from your documents and hands complex ones to a person with the context.
- Email: reads incoming mail, sorts it, looks up the order and replies; sensitive answers wait for approval.
- Invoices: reads the PDF, checks the supplier and purchase order, sends amounts over a limit for approval and books it.
- Enquiries: enriches company data, creates the lead in the CRM, drafts the quote and schedules a reminder.
- Reports: every Monday pulls the data, calculates the numbers and flags deviations.
In projects by our parent company Buinsoft Technology, agents saved 70% of data-entry time and made responses to enquiries 40% faster.
Where an AI agent is not a good fit
- Where data or clear rules for a correct result are missing.
- Where a mistake would have serious consequences and nobody can check it in time.
- Where simple automation without AI is enough. It is cheaper and more predictable.
Risks and how to manage them
- Hallucinations: the agent answers from verified documents, not the open internet.
- Access that is too broad: the agent gets only the permissions it needs.
- Steps with consequences: payments, discounts or sending documents are approved by a person.
- AI Act and GDPR: every project starts with a risk classification and a personal-data check.
What an AI agent costs
A custom agent for one clearly defined process starts at €5,000 excl. VAT and is live within 30 days. Model usage is billed by the provider, usually a small monthly amount. We build a working prototype on your data within 3 working days, and if you don’t like it, you pay nothing.
